mindX Live and its associated entities (collectively referred to as ‘mindX’) are committed to ensuring that your privacy is protected.


Protecting your privacy and the personal information you provide is a top priority for us. We want our clients, partners and users to fully understand what information we collect, how we use this information and the steps we take to protect personal information.

who we are

mindX has been established to offer a platform for connection, to host live speaking events, to be at the forefront of thought leadership and to give back by supporting various charities.


mindX is based in Limassol Cyprus and we provide our services through a variety of platforms including our own website and through collaborations with third party venue providers, external online platforms, podcasts, other accessible public speaking forums and publication services.

what information we collect and how we use it

mindX hosts many events throughout the year. If you register for one of our events, we may collect any of the following, either directly or through a ticketing partner website:

  1. your name
  2. your email address
  3. your date of birth
  4. your mailing address
  5. your phone number
  6. any dietary requirements
  7. any medical conditions

This information is stored in our database(s) and used to provide you with information and services associated with the event. We process this information to fulfil the order / request which you have made.

If you are a presenter at one of our events, we may collect additional information from you which may include:

  1. your name
  2. your email address
  3. your date of birth
  4. your mailing address
  5. your phone number
  6. your employer or company details

  7. any dietary requirements
  8. any medical conditions
  9. a photograph of you
  10. your cv or an extract thereof that can be used to market your involvement with mindX and your upcoming presentation
  11. information about you from your company website and other public sources such as LinkedIn
  12. additional details as provided by your speaking agent (where appropriate)
  13. information provided by event attendees who evaluated your performance as a presenter

sensitive personal information

Data Protection law recognises that certain categories of personal information are more sensitive than others. This is known as sensitive personal information and covers health information, race, religious beliefs and political opinions. We do not usually collect sensitive personal information about you unless there is a clear reason for doing so, such as any dietary requirements when attending an event (which may infer religious beliefs or medical conditions) or where we need this information to ensure that we provide appropriate facilities or support to enable you to participate in an event.

additional data collection

We may also make and store a recording of your voice and likeness in certain instances. mindX relies on a legitimate interest basis for collecting, storing and processing this information such as for use in promotional material following an event, to showcase the event and for any live transmission purposes during hybrid or online events.


We keep a record of your participation in mindX events as an attendee or presenter. This information may be used to tell you about other events and publications.


Some of our events are sponsored. mindX may at times allow sponsors, co-sponsors and/or exhibitors to send you material by mail, in which case mindX engages a third-party mailing house and does not share your mailing address directly with the sponsor/exhibitor. In cases where the event being hosted is a virtual event, your details will be shared to sponsors and exhibitors who you have engaged with via booth visit (click), collateral download and or in audio or video chat. If you do not wish to have your information included in an attendee list or to receive information from sponsors, co-sponsors and/or exhibitors, you can express your preferences when you register for events or you may contact mindX at connect@mindxlive.com.


mindX processes your data to provide you with the services you have requested or purchased from us. mindX will at times process your personal data to fulfil an order for services, and mindX has a legitimate interest in processing data to better understand the needs, concerns, and interests of mindX customers so it can operate optimally as a business. At times, mindX will rely upon your consent, in which case we will keep a record of it and honor your choices.

As is true of most other websites, this website collects certain information automatically and stores it in log files. The information may include internet protocol (IP) addresses, the region or general location where your computer or device is accessing the internet, browser type, operating system and other usage information about the use of the website, including a history of the pages you view. We use this information to help us design our site to better suit our users’ needs. We may also use your IP address to help diagnose problems with our server and to administer our website, analyze trends, track visitor movements, and gather broad demographic information that assists us in identifying visitor preferences. mindX has a legitimate interest in understanding how users and potential customers use its website.

mindX makes use of cookies to provide our users with the best experience. Our cookies do not store sensitive data or personal information, but only store the browser association that loads the data and provides the dynamic experience for the site user.


Cookies are used to provide general analytics, track the user experience, keep you logged into our site, general storage about the site for example, pre-populating forms and details.


You may also experience third-party cookies that assist us to make our website more dynamic and to provide a better end-user experience, such as in-site video playing from third party providers such as Vimeo or YouTube.

payment card information

You may choose to purchase services from mindX using a payment card. Typically, payment card information is provided directly by users, via the event website, into the PCI/DSS-compliant payment processing service to which mindX subscribes, and mindX does not, itself, process or store the card information. Occasionally, customers may ask mindX employees to, on their behalf, enter payment card information into the PCI/DSS-compliant payment processing service to which mindX subscribes. We strongly encourage you not to submit this information by email. If an mindX employee receives payment card information from a customer by email, fax, phone, or mail, it is entered as instructed and then deleted or destroyed.

personal information we receive from third parties

Conference host organisations may share membership lists and previous event delegate lists with mindX to allow mindX to inform you of the upcoming events.

when and how we share information with others

We may disclose personal data to the following parties: 

  1. mindX group and related companies and partners;
  2. Contractors – who support mindX in our provision of services;
  3. Payment processors – to allow payments to be made;
  4. Marketing software – to provide you with information about our events, products and services.

where do we transfer and store your personal information?

mindX is based in Cyprus. Your data will be processed in Cyprus. The personal information we collect from you may also be stored in one or more databases hosted by third parties located in the United States and Europe. We may disclose your information to recipients outside of where we have offices such as to the country where the event takes place, or where our contractors reside.  We are careful to work with third parties who maintain appropriate standards of data security compliance. mindX also enters into data processing agreements and model clauses with its vendors whenever feasible and appropriate.

how do we keep your personal information secure?

To help protect the privacy of data and personally identifiable information you transmit through use of our sites and platforms, we maintain physical, technical and administrative safeguards. We restrict access to your personal data to those employees who need to know that information to provide benefits or services to you. In addition, we train our employees about the importance of confidentiality and maintaining the privacy and security of your information. We commit to taking appropriate disciplinary measures to enforce our employees’ privacy responsibilities.


Through agreeing to this privacy notice you are consenting to mindX processing your personal data for the purposes outlined. You can withdraw consent at any time by selecting “unsubscribe” to any emails that you receive from us, or by emailing connect@mindxlive.com.

how long do we keep your data?

mindX will retain your personal information for as long as is necessary to provide the services to you, and to comply with our legal obligations. If you no longer want to hear from us, you can use the unsubscribe mechanism at the bottom of any marketing email. You may also request a listing of personal data held or for that data to be edited or erased by emailing mindX privacy officer at the contact details below.

your rights as a data subject

At any point whilst mindX is in possession of or processing your personal data, all data subjects have the following rights: 


  • Right to be informed – this is fulfilled through this privacy policy
  • Right of access – you have the right to request a copy of the information that we hold about you and details of how it is processed
  • Right of rectification – you have a right to correct data that we hold about you that is inaccurate or incomplete.
  • Right to be forgotten – in certain circumstances you can ask for the data we hold about you to be erased from our records.
  • Right to restriction of processing – where certain conditions apply you have a right to restrict the processing.
  • Right of portability – you have the right to have the data we hold about you transferred to another organization.
  • Right to object – you have the right to object to certain types of processing such as direct marketing.
  • Right to object to automated processing, including profiling – you also have the right not to be subject to the legal effects of automated processing or profiling.

If mindX refuses your request under rights of access, we will provide you with a reason as to why, which you have the right to legally challenge.


mindX, at your request can confirm what information it holds about you and how it is processed.


To access what personal data is held, identification will be required. mindX will accept the following forms of ID when information on your personal data is requested: a copy of your national ID card, driver’s license, passport. A minimum of one piece of photographic ID listed above and a supporting document is required. If mindX is dissatisfied with the quality, further information may be sought before personal data can be released.
